Editing Items

Update item details, status, and attachments.

Item Detail Panel


Overview

After creating an item, you can edit:

  • Title and description
  • Type and priority
  • Status and assignee
  • Due dates
  • Attachments and evidence
  • Location on plans

Opening an Item for Editing

Admin App

  1. Navigate to Items in your project.

  2. Click on the item you want to edit.

  3. The detail panel opens on the right.

  4. Click Edit to enable editing mode.

Mobile App

  1. Go to Items tab.

  2. Tap on the item.

  3. Tap the Edit button (pencil icon).


Editing Item Details

Title and Description

  1. Click on the title field.

  2. Type the new title.

  3. Click on the description field.

  4. Update the description text.

  5. Click Save.

Item Type

Change the item type:

  1. Click the type dropdown.

  2. Select the new type:

  3. Action
  4. Decision
  5. Issue
  6. Question

  7. Click Save.

Type Changes

Changing the type updates the item's icon and may affect how it appears in filtered views.


Changing Status

Available Statuses

Status Meaning
Open Not yet started
In Progress Currently being worked on
Closed Completed or resolved

Updating Status

  1. Open the item.

  2. Click the status dropdown or badge.

  3. Select the new status.

  4. Add a comment explaining the change (optional).

  5. Status updates immediately.


Assigning Items

Setting an Assignee

  1. Open the item.

  2. Click the Assignee field.

  3. Select a team member from the dropdown.

  4. The assignee is notified (if notifications are enabled).

Reassigning

  1. Click the current assignee.

  2. Select a different team member.

  3. Add a note about the reassignment (recommended).

Removing Assignment

  1. Click the assignee field.

  2. Select "Unassigned" or clear the selection.


Due Dates

Setting a Due Date

  1. Open the item.

  2. Click the Due Date field.

  3. Select a date from the calendar.

  4. The due date appears on the item.

Overdue Items

Items past their due date:

  • Display a warning indicator
  • Appear in "Overdue" filters
  • Show in priority views

Removing a Due Date

  1. Click the due date field.

  2. Click Clear or delete the date.


Adding Evidence

Photos

  1. Open the item.

  2. Click Add Photo or the camera icon.

  3. Take a new photo or select from gallery.

  4. Photo is uploaded and attached.

Documents

  1. Open the item.

  2. Click Attach Document.

  3. Select a document from the project files.

  4. Or upload a new document.

Viewing Attachments

All attachments appear in the Evidence section:

  • Click to view full size
  • Download for offline use
  • Remove if no longer needed

Location on Plans

Pinning to a Plan

  1. Open the item.

  2. Click Set Location or the map icon.

  3. Select a floor plan.

  4. Tap the location on the plan.

  5. Location is saved with the item.

Viewing Location

Items with locations show:

  • A location indicator on the item
  • The item when viewing the plan
  • Location in exported reports

Activity History

Viewing History

Each item tracks changes:

  • Who made changes
  • When changes occurred
  • What was modified

Adding Comments

  1. Scroll to the Activity section.

  2. Type in the comment field.

  3. Click Add Comment.

  4. Comments appear in the history.


Bulk Editing

Selecting Multiple Items

  1. Check the boxes next to items.

  2. Or click Select All.

Bulk Actions

With items selected:

  • Change Status - Set status for all
  • Assign - Assign all to one person
  • Set Due Date - Apply same due date
  • Delete - Remove all selected

Troubleshooting

Can't Edit Item

If you can't edit an item:

  1. Check your permissions
  2. Verify the item isn't locked
  3. Refresh the page
  4. Contact the project admin

Changes Not Saving

If changes don't save:

  1. Check your internet connection
  2. Look for error messages
  3. Try refreshing and editing again
  4. Report persistent issues to support
