Managing Team

Add and manage team members in your project.


Overview

Team management allows you to:

  • Invite new members
  • Set permission levels
  • Remove members
  • Transfer ownership

Permission Levels

Owner Full access, can delete project
Admin Manage team, settings, all content
Member Create and edit items, view documents
Viewer View only, no editing

Inviting Members

Send Invitation

  1. Go to Project Settings > Team.

  2. Click Invite Member.

  3. Enter the email address.

  4. Select the role.

  5. Click Send Invitation.

Invitation Email

The invitee receives an email with:

  • Project name
  • Inviter name
  • Link to accept

Pending Invitations

View pending invitations:

  1. Go to Team settings.

  2. See list of pending invites.

  3. Resend or cancel as needed.


Managing Existing Members

Change Role

  1. Go to Team settings.

  2. Find the team member.

  3. Click the role dropdown.

  4. Select the new role.

  5. Changes apply immediately.

Remove Member

  1. Go to Team settings.

  2. Find the team member.

  3. Click Remove or the X icon.

  4. Confirm removal.

Removed Members

Removed members lose access immediately but their past contributions remain.


Bulk Operations

Invite Multiple

To invite several people:

  1. Click Invite Member.

  2. Enter multiple emails (comma-separated).

  3. Select the role for all.

  4. Send invitations.

Export Team List

  1. Go to Team settings.

  2. Click Export.

  3. Download CSV of all members.


Ownership Transfer

Transfer to Another Admin

  1. Go to Project Settings.

  2. Click Transfer Ownership.

  3. Select the new owner (must be Admin).

  4. Confirm the transfer.

  5. You become an Admin.

Ownership

Only the Owner can transfer ownership. This action cannot be undone without the new owner's cooperation.


Team Activity

View Member Activity

See what team members have done:

  1. Go to Team settings.

  2. Click on a member's name.

  3. View their recent activity.

Activity Includes

  • Items created/edited
  • Comments added
  • Documents uploaded
  • Last active date

Best Practices

Role Assignment

  • Give minimum necessary permissions
  • Use Viewer for stakeholders who only need to see
  • Reserve Admin for trusted team leads
  • Keep Owners to a minimum

Regular Review

  • Review team list periodically
  • Remove inactive members
  • Update roles as responsibilities change

Troubleshooting

Invitation Not Received

If someone doesn't get the invite:

  1. Check spam/junk folder
  2. Verify email address spelling
  3. Resend the invitation
  4. Check if they're already a member

Can't Change Role

If you can't modify roles:

  1. Verify you're an Admin or Owner
  2. You can't demote yourself below Admin
  3. Can't modify the Owner (except transfer)

Member Can't Access

If a member reports access issues:

  1. Verify they accepted the invitation
  2. Check their role permissions
  3. Ensure they're logged in
  4. Have them clear browser cache
