Ask questions about your project data and create items by talking about them. The AI Assistant understands your project, documents, and items, and helps you find information and manage tasks.


What is the AI Assistant?

The AI Assistant is your intelligent assistant that helps you with:

  • Finding Information - Get answers from all your project documents
  • Answering Questions - Ask questions in plain language, like talking to a colleague
  • Showing Sources - Always see where information comes from (which document, which page)
  • Project Context - Understands your specific project and construction terminology
  • Creating Items - Create new tasks, decisions, issues, or questions by talking about them
  • Updating Items - Change existing items by saying what you want to modify

Opening the Assistant

Desktop: - Click Chat icon in sidebar - Or navigate to Ask page - Or use keyboard shortcut: Ctrl+K (Windows) or Cmd+K (Mac)

Mobile: - Tap Ask tab at bottom - Or tap floating chat icon

Asking Questions

Text Input: 1. Click chat input field 2. Type your question naturally 3. Press Enter to send

Voice Input (Mobile): 1. Tap microphone button 2. Speak your question clearly 3. AI transcribes and processes

Question Types

Document Questions: - "What are the concrete specifications for Building A?" - "What does the contract say about delays?" - "Summarize the electrical requirements"

Item Questions: - "Show all open actions assigned to Jan" - "What issues were reported last week?" - "List decisions pending approval"

General Questions: - "How many items are overdue?" - "What's the status of the foundation work?" - "Give me a summary of today's activities"

Understanding Answers

Answer Structure:

  1. Direct Answer - Main response to your question
  2. Supporting Details - Additional context
  3. Source References - Links to original documents
  4. Confidence Indicators - When uncertain

Example Response:

"According to the structural specifications (Section 3.2), the foundation requires C30/37 concrete with a minimum depth of 800mm."

Includes: - Direct answer (C30/37 concrete, 800mm depth) - Source reference (Section 3.2) - Clickable link to document

Source Citations

Every answer includes sources: - Document name - Section or page number - Relevant excerpt when applicable

Using citations: 1. Click source link in answer 2. Document opens at referenced location 3. Verify information in context 4. Read surrounding content if needed

Always Verify Important Information

For critical decisions, click through to source documents to verify context and ensure proper understanding.

Tips for Better Answers

Be Specific:

Less Effective More Effective
"What about the roof?" "What are the insulation requirements for the roof in Building B?"
"Show items" "Show open issues in the kitchen area"

Include Context: - Document names: "According to the structural report..." - Locations: "...in the basement parking area" - Time periods: "...from last month"

Use Follow-ups: 1. Initial: "What are the fire safety requirements?" 2. Follow-up: "Which rooms need sprinklers?" 3. Follow-up: "What's the installation deadline?"

You can ask questions in either language.

When Answers Seem Wrong

Verify sources: 1. Click source references 2. Read original context 3. Check if information is current

Check document quality: - Verify documents are processed - Ensure relevant documents uploaded - Check for outdated versions


Creating Items via Chat

You can simply ask the AI Assistant to create items, like talking to a colleague. The AI understands what you mean and creates the item for you.

How It Works

Just talk:

  • "Create a task for installing the electrical panel"
  • "Record that we're choosing tile option B"
  • "There's a water leak in the second floor bathroom"
  • "What's the delivery date for the windows?"

What the AI does:

  1. The AI listens to what you say
  2. It understands what type of item it should be (task, decision, issue, or question)
  3. It automatically fills in what it understands (priority, discipline, location)
  4. It shows you what it's going to create
  5. You confirm, or adjust it first

    Automatically filled:

    • Type - The AI recognizes if it's a task, decision, issue, or question
    • Priority - If you say "urgent" or "high priority", that's automatically filled
    • Discipline - If you mention "electrician" or "plumber", that's recognized
    • Location - If you say "second floor" or "bathroom", that's saved
    • Project - Automatically uses the project you're currently working in

Updating Items via Chat

You can also change existing items by talking about them:

Examples:

  • "Set item #123 to done"
  • "The deadline for the roof inspection is now February 15th"
  • "Assign all bathroom tasks to Jan"
  • "Increase the priority of the electrical tasks"
  • "Shift all deadlines by 2 weeks"

What you can change:

  • Status - "Set to done", "block this task", "start working on..."
  • Deadline - "Deadline is now Friday", "shift 2 weeks"
  • Priority - "Make this urgent", "low priority"
  • Assignment - "Assign to Jan", "assign to me"
  • Description - "Add: the plumber has fixed it"

How it works:

  1. Reference the item (number, title, or description like "bathroom tasks")
  2. Say what you want to change
  3. The AI searches for the items and shows what it will change
  4. You confirm, or adjust it

Safety Confirmation

Always in control:

  • The AI always asks for confirmation before creating or changing anything
  • You see exactly what will happen
  • You can always make adjustments
  • You can always cancel

Example conversation:

You: "Create a task for installing the electrical panel"

AI: "I'll create an Action item:
     Title: Install electrical panel
     Project: Building A
     Priority: Medium

     Would you like to create this item? Or would you like to adjust anything?"

You: "Set the priority to high and assign to the electrician"

AI: "Updated:
     Priority: High
     Assignee: Electrician Team

     Confirm to create?"

Tips for Best Results

Be clear:

  • Say what type of item it is ("create an issue...")
  • Give location ("in building A, second floor")
  • Mention urgency if important ("this is urgent")

For changes:

  • Use the item number if you know it (#123)
  • Or describe the item ("bathroom tasks", "electrical items")
  • The AI can change multiple things at once

Combine with documents:

  • "According to the construction report, create a task for..."
  • "Based on the specification, update item #12 with..."
  • The AI uses information from your documents to create better items
